AI Use Policy

1. Scope

This policy applies to all content submitted to or published by NeucitePress, and to all parties involved in our publishing workflow — authors, co-authors, reviewers, editors, and staff. “AI tools” means generative and assistive systems such as large language models, AI image or figure generators, and automated writing or analysis tools.

2. AI Cannot Be an Author

AI tools do not meet the criteria for authorship, because they cannot take responsibility for the work, approve the final version, or be accountable for its integrity. Accordingly:

• AI tools must not be listed as authors or co-authors.
• Authors are fully responsible for all content in their submission, including any portion produced with AI assistance.
• Authors must ensure AI-assisted content is accurate, original, properly cited, and free of fabrication or plagiarism.

3. Disclosure Requirements for Authors

If AI tools were used in preparing a submission beyond basic spelling or grammar checking, authors must disclose this. A disclosure should:

• Name the tool(s) and version used
• Describe how and where they were used (for example, drafting text, summarising literature, generating code, or producing figures)
• Appear in the methods section or in a dedicated acknowledgements or “Use of AI” statement

Routine assistance such as grammar correction, reference formatting, or translation generally does not require disclosure, but authors should err on the side of transparency where AI materially shaped the content.

4. Acceptable and Unacceptable Uses

Generally acceptable (with disclosure where material)

• Improving clarity, grammar, and language of author-written text
• Summarising or organising the author’s own notes
• Assisting with code, data analysis, or literature searching, where outputs are verified by the author

Not acceptable

• Presenting AI-generated text or results as original human work without verification
• Fabricating data, references, or findings, or relying on AI-invented citations
• Generating images or figures that misrepresent original research data
• Uploading confidential manuscripts, peer review materials, or third-party personal data into AI tools that do not protect that data

5. AI in Peer Review

Reviewers must keep manuscripts confidential. Uploading a manuscript under review into a public or third-party AI tool may breach that confidentiality and is not permitted. Reviewers remain personally responsible for their assessment and must not delegate their critical judgement to an AI system. Any use of AI assistance in preparing a review should be disclosed to the handling editor.

6. AI in Editorial and NeucitePress Operations

Where NeucitePress uses AI tools internally — for example, in screening, similarity checking, or workflow support — final decisions affecting a submission rest with human editors. We handle any personal data involved in line with our Privacy Policy.

7. Accountability and Consequences

Undisclosed or improper use of AI may be treated as a breach of research integrity. Depending on severity, this may lead to revision requests, rejection, correction, retraction, or notification of the authors’ institutions, following the procedures in our Publication Ethics Policy. Use of our services is also subject to our Terms of Service.

8. Updates

AI technology and best practice are evolving quickly. We will update this policy as standards develop and will post the revised version here with a new “Last updated” date.
