Long-Term Archiving (PKP PN / CLOCKSS / Portico) — setup

Overview

Your DOAJ application asks which archiving policy you have, and the honest answer is “none yet.” Or you have ticked the box in OJS and are not sure whether anything is being deposited. Digital Preservation Setup gets your journal enrolled in a real preservation network, configures the deposit correctly, and confirms that content is arriving.

This is for any journal on Open Journal Systems, the free, open-source software from the Public Knowledge Project (PKP), that needs a verifiable archiving arrangement for DOAJ, Scopus, funder policies or its own peace of mind.

What’s Included

• Network selection — advice on PKP Preservation Network (free for eligible OJS journals), CLOCKSS and Portico, based on your indexing goals, budget and eligibility
• Enrollment — application, agreement paperwork and journal registration with the chosen network
• Configuration — installation and setup of the relevant OJS plugin, deposit scheduling and metadata checks
• Initial deposit and verification — confirmation from the network that issues have been received and are being preserved
• Archiving policy statement — wording for your journal’s website and for DOAJ, Scopus or other applications
• Handover note — how to monitor deposits and what to check after each issue

How It Works

1. We review your journal’s eligibility and recommend a network (or more than one).
2. We complete enrollment with you and configure OJS.
3. We trigger deposits and verify receipt with the network.
4. We deliver the policy statement and handover note. Pricing is a fixed fee per journal per network.

Important Limitations

• Network fees — PKP PN is free for eligible OJS journals; CLOCKSS and Portico charge their own participation fees. These are separate from our fee and passed through at cost.
• Eligibility — each network has its own criteria (for example, OJS version, ISSN, publication regularity). We check before you commit.
• Ongoing deposits — deposits run automatically once configured, but they depend on the journal continuing to publish through OJS and keeping the plugin current. Monitoring is covered under managed hosting or a Technical Support Plan.
• Not a backup — preservation networks protect against long-term loss and publisher failure; they are not a substitute for operational backups.

Which network does DOAJ accept?
DOAJ recognizes PKP PN, CLOCKSS, Portico and several others. We recommend based on your situation.

Can we enroll in more than one?
Yes. Some journals use PKP PN plus a commercial network for additional assurance; the fee is per network.

What if we are not on OJS?
Enrollment is still possible with most networks, but the deposit mechanism differs. Ask us and we will confirm what is feasible.
