Train Your Team & Documentation
Overview
The journal works because one person knows how. When that person is on leave, or leaves, everything stalls. Administrator Training & Documentation fixes that in two ways: we train the people you have, and we write down how your installation actually works so the next person can pick it up.
This is for journals and institutions on Open Journal Systems, the free, open-source software from the Public Knowledge Project (PKP), whether hosted by NeucitePress, by another provider, or in-house.
What’s Included
- Administrator training — live sessions for system administrators and journal managers: site and journal settings, user and role management, workflow configuration, plugins, email templates, statistics, DOI and indexing integrations, backups and upgrades (for self-hosted instances)
- Editorial training — sessions for editors, section editors and production staff on the submission, review, copyediting and production workflow
- Runbooks — step-by-step procedures for routine and emergency tasks: publishing an issue, registering DOIs, adding a user, restoring a backup, applying an upgrade, handling a locked account
- Operations manual — a document describing your specific configuration, integrations, credentials locations, contacts and schedules
- Recordings and slides — all sessions recorded for onboarding future staff
- Follow-up — a question period after training for clarifications
How It Works
- We review your installation and interview current staff to capture how things are actually done.
- We agree a training plan by role and schedule sessions.
- We deliver training and draft the runbooks and manual.
- Your team reviews the documentation; we finalize and hand over. Pricing is per training session, plus a fixed fee per installation for the documentation package.
Important Limitations
- Specific to your setup — documentation describes your installation as it is at the time of writing. Major changes afterwards will need an update, which can be quoted.
- Training is not support — ongoing help with faults and upgrades is covered by managed hosting or a Technical Support Plan.
- Attendance — the value depends on the right people attending. We recommend a minimum of two trained people per critical role.
Common Questions
Can training be delivered remotely?
Yes. Sessions are delivered online by default; on-site delivery can be quoted.
Do you train on other platforms?
Our training covers OJS. For other platforms, ask and we will confirm whether we can help.
Is this included in any hosting plan?
Professional hosting includes initial training; Enterprise includes ongoing training. This service is for everyone else, or for a deeper documentation package.
